Effective date: 2026-07-02
ARKV is operated by N1MBUS LTD, company number 16172608, registered at 124-128 City Road, London, England, EC1V 2NX. In this policy, "ARKV", "we", and "us" mean N1MBUS LTD. This policy explains what information we collect, how we use it, who we share it with, and the choices and rights available to you.
ARKV is a fitness and class-planning app for instructors. It is not a medical records service. Please do not add medical diagnoses, treatment records, or other sensitive health information unless you have the right to do so.
Information we collect
- Account information: email address, sign-in provider details, and a user ID (via Firebase Authentication) to create and secure your account.
- User content: fitness/class-planning content you create in the app (for example workouts, exercises, plans, notes, and related metadata).
- Uploaded images: images you choose to upload (for example exercise images) stored in cloud storage.
- Imported calendar data: if you connect your calendar, we may store event data you import (such as event title, start/end times, calendar/event identifiers, and source calendar name) so it can appear in your schedule.
- AI feature inputs and outputs: if you use AI-powered features, we process the text, images, audio, or transcripts you provide to generate results.
- Feedback and support information: messages you send us, support requests, app feedback, and related account or app metadata.
- Operational data: technical logs needed to keep the service reliable and secure (for example request metadata, app version, platform, status/error codes, and crash diagnostics).
How we use information and our lawful bases
If UK or EU data protection law applies, we rely on these lawful bases:
| Purpose | Lawful basis |
|---|---|
| Create accounts, sign you in, sync your content, store plans/exercises, process uploads, and provide the app features you request. | Contract. |
| Access your device calendar, photo library, camera, or microphone where the app asks for optional device permission. | Consent. |
| Generate AI outputs or transcription when you choose to use AI features. | Contract or consent, depending on the feature and permission used. |
| Maintain security, prevent abuse, debug issues, monitor reliability, and improve the service. | Legitimate interests. |
| Send service emails and respond to support or privacy requests. | Contract or legitimate interests. |
| Keep records needed for legal, regulatory, tax, or dispute purposes. | Legal obligation or legitimate interests. |
How we share information
We use service providers to run the app. These providers process information on our behalf in order to provide the services:
- Google Firebase: authentication, database, cloud functions, and storage.
- Google and Apple: social sign-in if you choose those login options.
- Hosting / infrastructure providers: to run our APIs and deliver the service.
- AI processing providers: when you use AI features, your inputs are processed by our AI service endpoint and AI providers to produce results.
- Error monitoring providers: to understand crashes, errors, and reliability issues.
- Email providers: to send service or onboarding emails.
- Team notification tools: limited operational alerts, such as account or activity identifiers, so we can monitor service activity and reliability.
We do not sell your personal information. We do not use your personal information for third-party advertising or cross-app tracking.
International transfers
We are based in the United Kingdom, but our providers may process information in the UK, the EEA, the United States, or other countries. When UK or EU transfer rules apply, we rely on appropriate safeguards such as adequacy decisions, standard contractual clauses, the UK International Data Transfer Addendum, or equivalent provider terms.
Data retention
We keep account information, user content, uploaded images, imported calendar records, and saved AI outputs while your account is active or as needed to provide the service. You can delete your account from within the app; when you do, we delete your account and associated content from our systems, subject to limited retention for security, fraud prevention, dispute handling, or legal compliance. Operational logs and support records are kept only for as long as needed for those purposes.
Your choices and rights
- Calendar access: you can choose whether to connect/import calendar data, and can revoke access in your device settings.
- Uploads: you control what images/content you upload.
- Account deletion: you can delete your account in-app.
- Privacy rights: depending on where you live, you may ask us to access, correct, delete, restrict, or export your personal information. You may also object to processing based on legitimate interests or withdraw consent where we rely on consent.
To exercise privacy rights, contact us at hello@arkv.app. We may need to verify your account before acting on a request.
AI and automated decisions
AI features generate draft content only when you request them. ARKV does not use solely automated decision-making that produces legal or similarly significant effects about you.
Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is completely secure.
Children’s privacy
ARKV is not intended for children, and we do not knowingly collect personal information from children under 13.
Complaints
We hope you will contact us first so we can help. If you are in the UK, you can also complain to the Information Commissioner's Office. If you are in the EEA, you can complain to your local data protection authority.
Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and update the effective date.
